Track Jobs with Projects

If you run your work job by job, a Project is your folder for the whole engagement — the kitchen remodel, the office fit-out, the deck build. Every quote, invoice, and order you tag to that job lands in one place, so you can see the job's full paper trail at a glance.

What You'll Need

Before you start: Turn on Projects once. Open the side menu, tap Settings, tap Projects under Invoicing & documents, and check Use projects. A Projects entry appears in your menu and a Project field appears on your documents. Full walkthrough: How to Show Project Names on Invoices.

Steps

  1. Open Projects from the side menu, then tap the + button to start a new job. Or add one straight from a customer — open the customer and tap Add project.

  2. Pick the customer this job is for, then give the project a name you'll recognize — "Miller Kitchen Remodel", "Unit 4 Office Fit-Out".

  3. Set a status and dates — choose a status like Pending, Awarded, In progress, or Closed, and set start and end dates if you know them. Tap Save.

  4. Tag your documents to the job. When you create or edit a quote, invoice, sales order, or cash sale for that customer, tap the Project field and pick the job. From now on that document belongs to the project.

  5. See the whole job. Open the project and tap the Transactions tab — every quote, order, invoice, and cash sale you tagged shows in one list, newest first.

Good to Know

  • Projects belong to a customer. Pick the customer first; the Project field only lists jobs for the customer on that document.
  • Set a default job for a repeat customer. Turn on Set as default when editing a project, and new documents for that customer pre-fill with it — handy when a client keeps one job running.
  • Custom statuses. In Settings → Projects → Manage project statuses you can add your own, like "Awaiting deposit" or "Materials ordered".
  • Print the job name on the PDF so clients see which job they're being billed for — see How to Show Project Names on Invoices.
  • Did the job make money? Once invoices are tagged, you can see what the job has brought in — see See if a Job Made Money.
