How to Create an Email Template

MobileBiz Pro does not include any default email templates. You must create at least one before you can email an invoice to a customer. This takes about two minutes and only needs to be done once.

What You'll Need

Before you start: Have your company email address handy — it will be pre-filled in the CC field.

Steps

  1. From the Dashboard, tap the three-dot overflow menu in the top action bar, then tap Lists.

  2. Tap "Email Templates" in the Lists screen.

  3. Tap the + icon in the top action bar to start a new template.

  4. Fill in the template fields.

    NameA label for this template, e.g. "Invoice Email". For your reference only.
    Apply toSelect Invoice from the dropdown.
    Is defaultCheck this box so the template is selected automatically when you email an invoice.
    SubjectThe subject line your customer sees, e.g. Invoice {TRAN.NO} from {COMPANY.NAME}.
    CCYour company email is pre-filled here. Leave it to receive a copy of every invoice you send.
    BodyYour email message. See the example below.

  5. Tap Save in the top action bar. Your template is ready.

Please find attached invoice {TRAN.NO} for {TRAN.TOTAL}.

Payment is due by {TRAN.DUEDATE}.

Good to Know

  • You cannot email an invoice without a template. If you tap Email and see an error, come back here and create a template first.
  • Create separate templates for different document types by changing the Apply to field — you can have one for Invoices, another for Quotes, and so on.
  • If you have multiple templates for the same document type and none is marked default, the app will ask you to choose one each time you send. Set a default to skip that step.
  • You can edit your template any time from Lists > Email Templates.
