The email your invoice rides in changes how fast it gets paid. A vague "here's your invoice" gets left for later. A clear message with the amount and the due date right at the top gets handled. The good news: you write it once. MobileBiz Pro drops in the customer's name, your invoice number, and the total every time, so a one-person business reads exactly like a company with a billing department.
Below are four templates you can paste straight into the app. You don't have to build anything first — MobileBiz Pro already emails invoices with a built-in default. These just make the message work harder for you.
Before You Start
Read this first: Customize Your Email Templates shows where these go — Settings > Invoicing & documents > Email & SMS templates, one template per document type, with a Default toggle so the right one is picked automatically. Paste each template below into the Subject and Message fields for its document type. The
{TAGS}fill themselves in when you send.
1. The Invoice Email
Set the Document type to Invoice.
Subject:
Invoice #{TNX.NO} from {COMPANY.NAME}
Message:
Hi {CUSTOMER.NAME},
Your invoice is attached. Here are the details:
Invoice: #{TNX.NO}
Amount: {TNX.TOTAL}
Due: {TNX.DUEDATE}

Why it works: the amount and the due date sit at the top, not buried under a paragraph. Your customer knows what they owe and when in the first three seconds, before they even open the PDF. That clarity is what moves an invoice from "later" to "paid."
2. The Payment Reminder
A copy of the invoice template, tuned for a nudge. Firm, warm, and no apology — you are owed money, and asking for it is normal.

Invoice #{TNX.NO} is due {TNX.DUEDATE}
Message:
Hi {CUSTOMER.NAME},
A quick reminder that invoice #{TNX.NO} has a balance of {TNX.BALANCE}, due {TNX.DUEDATE}.
If you have already sent payment, thank you, and no need to reply. Otherwise, let me know if you need anything from me to get it processed.

Why it works: notice there's no "so sorry to bother you." Apologizing for chasing your own invoice tells people the deadline is soft. The {TNX.BALANCE} tag shows what's still outstanding — so if they made a partial payment, the number stays honest and you never look like you lost track.
3. The Thank-You (the one nobody sends)
Set the Document type to Payment. This one goes out the moment a payment lands — and almost nobody bothers, which is exactly why it works.

Payment received. Thank you, {CUSTOMER.NAME}
Message:
Hi {CUSTOMER.NAME},
We received your payment of {PAY.AMOUNT}. Thank you.
It was a pleasure working with you, and we would love to help again. Just reply here whenever you need us.
{COMPANY.NAME}
Why it works: the sale isn't the finish line, it's the start of the next one. A short thank-you at the moment of payment is the cheapest repeat-business tool you have. It costs one send and it's the note customers remember, because your competitors never send it.
4. The Estimate Follow-Up
Set the Document type to Quote. Send this a few days after a quote goes quiet.

Message:
Hi {CUSTOMER.NAME},
Just checking in on the quote I sent for {TNX.TOTAL}. It's still good to go whenever you're ready.
Happy to adjust anything or answer questions. Reply here and we'll get started.

Why it works: most quotes don't die from a "no," they die from silence. A light follow-up that names the number, {TNX.TOTAL}, reminds the customer what they were excited about and makes saying yes a one-line reply. No pressure, just an open door.
Good to Know
- The tags are the whole trick.
{CUSTOMER.NAME},{TNX.NO},{TNX.TOTAL},{TNX.DUEDATE},{TNX.BALANCE}, and{COMPANY.NAME}fill in automatically at send time. Fill in your Company profile first (Settings > Company > Company profile) so{COMPANY.NAME}isn't blank. - Turn on the Default toggle for each template so the right message is picked automatically for that document type — no choosing every time you send.
- Sending by text? The same screen has SMS templates. Trim these down to one line, keep the amount and due date, and you're set.
