How to Attach Files to Invoices and Sales Forms

Keep supporting documents right where they belong — attach a spec sheet to a quote, a signed contract to an invoice, or a warranty card to a cash sale. Files stay linked to the transaction and can travel with it when you send it.

What You'll Need

Before you start: Save the transaction first. Attachments live on a saved invoice, quote, sales order, or cash sale — you'll find the Attachments tab once the record exists.

Steps

  1. Open a saved transaction — an invoice, quote, sales order, or cash sale.

  2. Tap the Attachments tab. The first time you use it, tap Enable File Attachments to turn the feature on.

  3. Tap Add and pick a file from your device.

  4. Choose whether to include it when sending. Tick Include when sending to send the file along when you email the document. Leave it off to keep the file for your records only.

  5. Tap Save. The file now appears in the list on the Attachments tab.

Good to Know

  • What you can attach: PDFs, Word, Excel, and PowerPoint documents, OpenDocument files, text, RTF, ZIP, JSON, and XML. Images aren't attached here — see below.
  • Attachments vs. photos. Attachments are documents (spec sheets, contracts, warranty cards) that ride along with the record; photos are images that can appear on the PDF itself. To add pictures, see How to Add Photos to Invoices.
  • Set defaults once. To attach the same file to every new invoice, quote, sales order, or cash sale automatically, tick Add as default when saving, or manage defaults from Settings > Invoicing & documents > File attachments.
  • Files are stored with your business data on your device, so they stay put even offline.
  • Sync to Google Drive with Plus. On the free plan your attachments live on your device. Upgrade to Plus to back them up and sync them to Google Drive — tap Upgrade on the sync banner to learn more.
